Buyer FAQ

Frequently Asked
Questions

Is wholesale coffee from Australian roasters fresh on delivery? Can I cancel a subscription? How much does shipping cost to Darwin? The five answers cafe and hospitality buyers actually want, before they commit to a roaster.

01

Will the coffee I source through CoffeeBeans be fresh when it arrives?

Yes. Every roaster in our directory roasts-to-order, not in bulk ahead of time. Most profile their beans within the last 7 days of dispatch, and the average turnaround from roast to your door is 3–7 business days. We surface roast dates on each roaster profile where available, and the /samples/request form lets you order trial packs directly so you can verify freshness before committing to a wholesale account.

02

Am I locked into a subscription or ongoing contract if I request samples?

No. Requesting samples through /samples/request is free and creates no obligation. Sample boxes are one-time purchases, not subscriptions. If you later move to a wholesale account with a roaster, terms are negotiated directly between you and the roaster — CoffeeBeans does not take a cut, set minimums, or insert itself into your supply contract. You're free to switch roasters, pause orders, or compare alternatives any time.

03

How much does roast style and flavour vary between roasters and batches?

Variability is real and intended — each of the 51+ roasters in our directory has its own house style, and single-origin lots rotate seasonally. That's why we tag every roaster profile with roast level (light, medium, dark, espresso), processing method, and origin focus. For consistency across your cafe menu, most wholesale buyers select a roaster with a strong house blend rather than chasing single-origin lots. You can filter the directory by style and read curator notes on each profile before committing.

04

How much does shipping cost Australia-wide, and can I get free delivery?

Shipping costs are set by each roaster, not by CoffeeBeans. Most Australian roasters offer free freight on wholesale orders above a minimum weight (typically 5–10 kg), and many include free express shipping on sample packs. Regional and remote areas (NT, far north QLD, parts of WA) sometimes attract a surcharge. The roaster profile page lists any minimum-order thresholds, and you can request a quote including freight directly via the /samples/request form before placing a wholesale order.

05

What is the returns and refund policy if I am not happy with the coffee?

Returns are handled by each roaster on their own terms, but the norm across specialty roasters is straightforward: if a sample or first wholesale order doesn't meet expectations, most roasters will offer a credit, replacement, or refund — typically within 14 days of receipt and on unopened or partially-used bags. CoffeeBeans does not mediate disputes but encourages buyer-roaster communication first; if a roaster is unresponsive, let us know through /contact and we will follow up on your behalf.
